Make a complimentary (free) bill

Sometimes you give a service free — a celebrity visit, a make-good after a complaint, a staff guest. A complimentary bill records the services and the staff who did them, but the customer pays ₹0.

What this feature does

A complimentary bill keeps the services, staff and their value on the bill, sets the total to ₹0 and marks it Complimentary Bill. No payment is collected and no GST is charged. With OTP approval on, the bill becomes free only after an approver sends back a code.

Who can use it

• Settings → Complimentary Service can be saved by the Owner/Admin and Co-owner only.
• When the outlet has it enabled, any biller sees the 🎁 Complimentary Bill button.
• With OTP approval on, staff below Owner/Admin need a valid approval OTP to save the bill.

Where to find it

• Setup: Settings → Complimentary Service (per outlet).
• On a bill: Make A Bill → Service Billing → Payment panel, at the top.

How to use it

Set it up (Owner/Admin)

1. Go to Settings → Complimentary Service.
2. Tick Enable complimentary billing.
3. Keep Require OTP approval ticked (recommended).
4. Under OTP Recipients (this outlet), add each approver's name (optional) and WhatsApp number, then + Add.
5. Save. You see "Complimentary settings saved for this outlet."

Make a complimentary bill

1. Select the customer and add the services with staff, as for any bill.
2. Click 🎁 Complimentary Bill. The popup shows the Client, Mobile, Services and Bill Amount.
3. With OTP approval: click Send OTP. The code goes on WhatsApp to all approvers; any one can approve. Type the code and click Verify & Apply. Without OTP approval: click Make Complimentary.
4. The panel shows 🎁 COMPLIMENTARY — bill total ₹0. Click Remove to undo.
5. Save the bill.

Important rules and limits

• The button works only after a customer and at least one service are on the bill ("Add customer & services to enable").
• A bill with a Combo cannot be made complimentary — the combo price is final.
• The OTP is valid for 10 minutes. After approval, save the bill soon.
• OTP approval needs the outlet's WhatsApp connected.
• A complimentary bill is not counted against discount limits.
• Typing "Complimentary Bill" in the remark is not a shortcut: without the approval, the bill is refused.
• The customer's WhatsApp message thanks them, shows the Service Value, Amount Payable: ₹0 and the receipt link.

Common problems

I do not see the Complimentary Bill button?

It is off for this outlet. Ask the Owner/Admin to enable it in Settings → Complimentary Service.

"No OTP recipients configured. Add approvers in Settings → Complimentary Service."?

OTP approval is on but no approver is added. The Owner/Admin must add at least one number.

"Invalid OTP." or "OTP has expired."?

Check the code, or click Resend to get a new one.

"A complimentary bill needs OTP approval…"?

The bill was saved without approval. Use the 🎁 Complimentary button and enter the approval OTP.
