Send an invoice on WhatsApp or print it

After you save a bill, the customer can receive it on WhatsApp, and you can print a copy for the counter.

What this feature does

• WhatsApp: the customer gets a message from your outlet's WhatsApp number with the amount, payment mode, loyalty points and a Receipt link that opens their invoice in the browser — no app or login needed.
• Print: a print preview opens with a choice of layout: A4 Full Invoice, Thermal Receipt (80mm) or Thermal Receipt (58mm).

Who can use it

• The Send invoice on WhatsApp tick box and the WhatsApp Bill resend need Share Invoice on WhatsApp.
• Staff without that permission do not see the tick box; their bills are always sent to the customer.
• Anyone who can see a bill can print it.

Where to find it

• On Make A Bill, at the bottom of the Payment panel: Send invoice on WhatsApp, Save & Print and Save Bill.
• On the Home Dashboard feed, the bill's ⋮ menu: Print Invoice and 💬 WhatsApp Bill.

How to use it

Send while saving

1. Make the bill (Create a service bill).
2. Keep Send invoice on WhatsApp ticked (it is ticked by default). Untick it if the customer does not want the message.
3. Click Save & Print or Save Bill.

Send again later

1. On the Home Dashboard feed, open the bill's ⋮ menu.
2. Click WhatsApp Bill. You see "WhatsApp billing link sent successfully!"

Print or save as PDF

1. Click Save & Print on a new bill, or ⋮ → Print Invoice on a saved one.
2. The print preview opens and the print dialog appears by itself.
3. Change Layout if needed, then click Print Again.
4. To keep a file, click Download PDF and choose Save as PDF in the print dialog.

Important rules and limits

• WhatsApp must be connected for the outlet (Connect WhatsApp).
• The customer needs a mobile number on their profile.
• You can change the message wording in WhatsApp Templates (the bill message template).
• Complimentary bills use their own message, showing the service value and "Amount Payable: ₹0" (Complimentary bills).
• A bill paid fully from the wallet shows no prices on the customer's invoice page; services, staff, quantity and payment mode still show.
• What appears on the printed invoice (logo, GSTIN, staff name and so on) is set in Invoice Template.

Common problems

"Failed to send WhatsApp."?

Check the WhatsApp status pill at the top of the screen and the customer's number. See WhatsApp messages not sending.

"You do not have permission to share invoices on WhatsApp."?

Your role does not have Share Invoice on WhatsApp. Ask the Owner/Admin.

The thermal receipt is cut off?

Choose the layout that matches your printer roll — 80mm or 58mm — before printing.
